Account details: your email address, password (stored only as a hash by our authentication provider), display name, and any profile information you choose to add.
Reviews and content: star ratings, written reviews, category tags, structured details such as years rented or whether a deposit was returned, and any photos or videos you attach.
Residency verification documents: if you choose to verify your residency, the single document you upload (a lease page, utility bill, or move-in confirmation).
Landlord and property manager information: claim requests, responses to reviews, team details, and business contact information.
Messages: anything you send through the Contact & Feedback form, including your name, email, message, and any optional link you add.
Your IP address, which we use to rate-limit the contact form and to detect spam and abuse.
Basic device and usage information such as browser type and the pages you visit, used to keep the service reliable and to understand which features are used.
Cookies and similar browser storage strictly needed to keep you signed in and to remember your session. We do not use advertising cookies.
Subscriptions and lookup passes are processed by Stripe. Card numbers never touch KeyHole's servers and we never store them. We keep only the records we need for billing, such as your plan, the identifiers Stripe gives us, your renewal date, and payment status.
To operate your account, publish your reviews, and show property pages and Trust Scores.
To verify residency claims and moderate content, including reviewing removal requests and enforcing the Community Guidelines.
To process payments, manage plans, and send billing and account emails.
To respond to your messages and to prevent spam, fraud, and abuse.
We do not sell your personal information, and we do not share it with advertisers.
Public: your reviews, ratings, tags, attached photos or videos, the review date, and any verification badge. Reviews are shown under the display name you choose, not your email address.
Never public: your email address, your password, your IP address, your payment details, your residency verification document, and the contents of messages you send us.
Verification documents are stored in a private location that only KeyHole administrators and moderators can open. As soon as a moderator approves or rejects the verification, the document is permanently deleted from storage. We keep only the outcome (verified or rejected) and the date it was decided. We never publish the document or share it with the landlord or property manager.
Service providers who run parts of the product for us: our hosting and database provider, Stripe for payments, our email delivery provider for account and notification emails, and Google Maps for address lookup and property imagery.
Law enforcement or other parties where we are legally required to do so, or where it is necessary to protect the safety or rights of a person or of KeyHole.
If KeyHole is ever acquired or merged, information may transfer to the new owner, who would remain bound by this policy or provide notice of any change.
Account information: for as long as your account is active. When you delete your account from account settings, your profile is closed and your personal details are removed.
Reviews: reviews may remain visible after account deletion in a de-identified form, because they are part of a property's public record. Ask us at admin@keyholeusa.com if you want a specific review removed.
Residency documents: deleted immediately after the moderation decision, as described above.
Contact messages and billing records: kept as long as needed to answer you and to meet tax and accounting obligations.
You can view and edit your profile, change your email, and delete your account at any time from account settings.
You can edit or request removal of a review you wrote.
Depending on where you live, you may have the right to request a copy of the information we hold about you, to correct it, or to ask us to delete it. Email admin@keyholeusa.com and we will respond within a reasonable time.
You can unsubscribe from non-essential emails at any time. Account, security, and billing emails are required for the service to work.
We use encrypted connections, row-level database access rules, private storage for sensitive uploads, and role-based access so that only administrators and moderators can reach moderation data. No system is perfectly secure, but we work to limit who can access what and to keep sensitive uploads only as long as strictly necessary.
KeyHole is not intended for anyone under 18. We do not knowingly collect information from children. If you believe a minor has created an account, email admin@keyholeusa.com and we will remove it.
We may update this policy as the product changes. When we make a material change we will update the date at the top of this page, and continued use of KeyHole after that means you accept the updated policy.
